Job Description

Facing Forward, as a rapidly growing nonprofit with an entrepreneurial drive, is expanding its development team and embarking on a search for a Development Assistant/Bookkeeper to become a member of its team working to end homelessness. The Development Assistant/Bookkeeper provides administrative support to the development department, the Executive Director around his fundraising responsibilities, and support to the Finance Director by providing bookkeeping services. He/she also serves as ‘lead staff’ in charge of the donor data base, maintaining the integrity of the donor/funder/volunteer information and the organization’s donation records.

Donor Database (Little Green Light) (30% of the position)
• Responsible for upholding best practices in database management and ensure that other staff follow as well
• Ensure that external contacts are included in database; add and update records, remove inactive records
• Generate and scrub customized mailing lists for fundraising and communications mailings
• Develop custom reports to evaluate donor base and progress
• Create files on new donors and funders, check to make sure that accurate data has been entered
• Create timely and personalized thank you letters and receipts to donors
• Manage matching and challenge grants, ensuring paperwork is processed and requirements are fulfilled

Administrative Support for Development Department (approximately 20% of the job)
• Serve as production manager for the appeal program; manage logistics for the success of those mailings
• Serve as production manager for the e-communications with the donors
• Coordinate Board member participation in the signing of donor correspondence, invitation notes, and placement of thank you calls
• Produce evaluative reports
• Assist with details as assigned for fundraising events
• Schedule meetings for Executive Director with donors, funders, and Board
• Coordinate invitation production, mailings, and managing RSVPs for small major donor events
• Provide staff support to the Board and to the Development Committee: prepare and send out meeting agendas, track RSVP, coordinate meeting logistics, etc. Maintain all Development Committee documents and files
• Monitor and maintain inventory of supplies needed for the development department (printed materials, appeal materials, etc.)
• Maintain paper and electronic files
• Complete special projects as assigned

Bookkeeping (40%)
• Develop custom reports and provide analysis, produce financial and evaluation reports.
• A/R: Enter all grants, donations, and special event purchases, process credit card contributions
• Verify entered data by reviewing, correcting, changing or updating entered information
• Reconcile development records with accounting records
• A/P: Prepare accounts payable, enter invoices, process payments
• Assist with budget development and monitoring
• Obtain signatures for checks, mail checks
• File copies of payables, maintain all other finance department files
• Contact vendors with any problems
• Provide staff with various financial reports and financial data when requested
• Implement accounting procedures and follow finance department policies
• Conduct other finance related duties as assigned

Other Responsibilities (10%)
• Participate actively in staff meetings
• Use email and other technologies to communicate with staff and others and to efficiently complete work assignments
• Protect the organizations value by keeping information confidential
• Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks, participating in professional organizations
• Perform other duties and attend other meetings and events as assigned

Education, Certification, License
• Two year Associate’s degree in business, accounting, database management, or similar degree (or the equivalent experience and passing a bookkeeping test will be acceptable)

• Two years secretarial/clerical experience
• Two years bookkeeping (A/R A/P) experience
• Some knowledge of fundraising for a nonprofit helpful

Skills and Abilities:
• Excellence in Microsoft Office Suite and database skills
• Accounting software experience (QuickBooks preferred)
• Handiness with IT and general office equipment necessary
• Ability to communicate effectively both verbally and written to communicate with others inside and outside of the organization
• Use of good judgment and the capability to research and analyze information in order to make decisions on recurring assignments
• Ability to provide exceptional customer service
• Displays eagerness and the ability to learn new methods, procedures, and techniques
• High level of professionalism and confidentiality
• Out-going personality with an infectious can-do attitude
• Excellent verbal communication, public speaking, and interpersonal skills
